Partner terms
Effective October 28, 2026. These terms are between your firm (the "partner") and Geekery LLC, a Virginia limited liability company ("we"). They add to the terms of service, which also apply.
Partner accounts
A partner account is for a firm that implements accounting systems for its customers. We approve each request ourselves and may decline one without giving a reason. An approved partner gets a partner code and a partner license key for the Ledger Doctor Partner app. The account and the app cost nothing until you buy a customer project.
Keep your license key confidential and use it only in your own firm's partner app installs. Share your partner code only with your customers. If you think your key has been seen by someone else, get a new one at api.myledgerdoctor.com/recover-key; the old one stops working.
Connections
Only a customer can connect a GP company to your partner code, from their own licensed Ledger Doctor, and either of you can end a connection at any time. Until a customer project covers a company, you receive only its quoting summary: its name, counts of GL accounts, vendors and customers, its years of GL history, the modules in use and a few account numbers.
Customer projects
- A customer project is for one customer. It costs $3,500 and covers up to 3 of that customer's GP companies; each company after the third is $1,000. Prices exclude any sales tax that applies.
- You choose the companies. The customer confirms the companies, and approves the data that goes to you, before you can pay. Once you've paid, a covered company stays in its project.
- A project never expires, and any number of people at your firm may work on it.
- How you charge your customer for the migration, including any part of this price, is between you and your customer.
Payments aren't refundable
A project bought is a commitment to its fee. Payments aren't refunded, including when a migration is delayed, changes scope or doesn't go ahead. Timing and budgeting are yours and your customer's. We'll fix a billing mistake, such as a duplicate charge, if you tell us at billing@myledgerdoctor.com, and we'll give any refund the law requires. Anything else is at our discretion, case by case. A customer's own Ledger Doctor subscription is separate and isn't changed, extended or refunded by a project.
The customer's data
Customer data reaches you encrypted for your partner app and is stored encrypted in its workspace. We relay it without being able to read it and delete it once you've received it, or after 14 days if you don't.
You may use a customer's data only to provide services to that customer, and only as your agreement with them allows. Once data leaves the partner app (an export, an import file, a report, a copy loaded into another system), protecting it is your responsibility, under your agreement with the customer and the law that applies to you. Keep the computer or server that runs the partner app secure, and give access only to people who need it.
When a connection ends or the customer asks, stop using their data and delete it as your agreement with them requires.
Your firm's people
You're responsible for who at your firm has access to the partner app and what they do with it. The app logs who made each decision and change.
Sage Intacct
Anything the partner app creates in Sage Intacct is done with the Sage Intacct credentials you or your customer provide, under your and their agreements with Sage. Review what the app shows before you run a step; it never deletes or changes what's already in Sage Intacct, but you're responsible for checking the result.
Ending a partner account
You can close your partner account at any time by emailing support@myledgerdoctor.com. We may suspend or end a partner account that breaks these terms. Projects you've paid for stay covered unless the account is ended for a breach.
Changes
We may update these terms. We'll email partners about a change before it takes effect. Prices for projects you've already bought never change.
