Download the close binder
The close binder is one zip file with everything a reviewer or auditor asks for about a close. Open the checklist on the Close page and choose Download close binder. It's built from what Ledger Doctor already has, so it takes a moment, and nothing in GP changes.
What's inside
- README.txt: what each file is, listing only what this binder holds.
- 1 Close checklist.xlsx: every task, who completed it and when, and how it was verified.
- 2 Tie-outs.xlsx: the AP, AR, Fixed Assets, bank reconciliation and trial balance tie-outs as of the period end, with live formulas checked against the database before the file was made.
- 3 Check results.xlsx: the check results the close relied on, and a "Marked as expected" sheet with every marked record and why.
- 4 Fixes applied.xlsx: the fixes applied during the period, each with its name: the company's own, plus fixes to GP's shared records (users, batch activity and record locks) that affected it.
- 5 Flux analysis.xlsx: every account's change against the previous period, the flagged ones and their explanations.
- 6 Account reconciliations.xlsx: every balance sheet account due, its supporting balance, reconciling items, and who prepared and reviewed it. The supporting files are in a Reconciliation support folder.
- 7 Guides followed.xlsx: the guided resolutions worked in the company during the period, who ticked each step, and what Check my work found.
- 8 Close task files: the files attached to close tasks, in a folder per task.
- 9 Auditor requests: any auditor request list for the same period end, as a workbook with each request's files in a folder named for it (Controls add-on).
- 10 Intercompany.xlsx: each intercompany pair with this company on either side: both balances at the period end, the difference, and who signed it off (Close plan).
- 11 Bank matching: a workbook for each bank statement ending in the month: the proof, what to mark in GP's Reconcile Bank Statements, the bank's lines not in GP and GP's outstanding transactions (Close plan).
- 12 Schedules.xlsx: every prepaid and accrual schedule, each month's amount, the GP batch and journal entry it was built as, and whether it's posted (Close plan).
If a part can't be produced, for example a tie-out whose history doesn't rebuild as of the period end, the binder has a text file in its place saying why.
