Explain account changes

Part of the Close plan.

The Flux page compares every GL account for a period with another period or a budget, flags the changes over your thresholds, and keeps the explanation for each one. Nothing in GP changes.

About 60 seconds, narrated, with captions. Sample company, made-up data.

Pick what to compare

  1. Open Month-end in the menu and choose Flux.
  2. Pick the Period end (last month end to start with).
  3. Under Compare with, pick The previous period, The same period last year or A GP budget, and the budget if you chose one.
  4. Choose Show.

Balance sheet accounts compare balances; profit and loss accounts compare the period's activity. Credit-balance accounts show as positive. The period has to be one of GP's fiscal periods.

Thresholds

An account is flagged when its change is at least the amount and at least the percentage you set: 5,000 and 10% to start with. Approvers can change them under the summary and choose Save thresholds. They apply to every company.

Only flagged accounts are listed. Check Show every account with activity to see the rest.

Explain a change

  1. Choose Explain on a flagged account (or Details on any other).
  2. See what changed by vendor, customer or reference, and the biggest entries in each period.
  3. Ledger Doctor drafts an explanation from those entries. Edit it to say why, and choose Save explanation.

Anyone can write and save explanations. Remove explanation takes one back out.

When Explain with AI is on, Explain with AI writes a short explanation from the same entries; Use as the explanation copies it into the box to edit. See Explain with AI.

Sign off

When every flagged account is explained, an approver chooses Sign off to record that the period's flux was reviewed. The close checklist's variance review step completes itself when every flagged change is explained. Download Excel gives you the whole comparison with the explanations, and it's in the close binder against the previous period.
