Combined charts

A combined chart brings several of a customer's GP companies together into one Sage Intacct chart of accounts and one list per dimension: what's the same is kept as one, what's different is merged or renumbered, with why.

About 2 minutes, narrated, with captions. Sample company, made-up data.

Before 0.4.0 these were called projects. A customer project is what you buy to cover a customer's companies.

Create a combined chart

  1. On Customers, open New combined chart and tick the companies.
  2. Put them in order with Move up and Move down. The first company's numbers win when accounts merge.
  3. Choose how much change the customer will accept: Keep their numbers (change only to resolve conflicts), Some change (also move numbers outside the chart layout's ranges), or Follow our template (also move numbers of a different length).
  4. Choose Create the combined chart.

The combined chart's page

It works like a company's page, for all its companies together. The counts at the top say what's left. The menu has the same groups:

  • Migration: Summary (each company's history and each entity's start date), Checklist for the whole combined chart, Blockers report (each company's, together) and Plan versions.
  • Chart and dimensions: Segments, Companies and entities, Chart of accounts, one tab per dimension (Department first), How it will look and Full mapping.
  • Records: customers, vendors, employees, items and warehouses, one list each across the companies.
  • Data and balances: Opening balances, Intercompany, and History and open items. Banks, 1099s and budgets: bank accounts, 1099 balances and budgets for every company.
  • Sage Intacct: each company's Connection, Compare, Since the last load, Configuration and the Load log of every company.

The bar at the top chooses Implementation or Production for every company of the combined chart, and shows each entity company's Sage Intacct calls this month. Each Sage Intacct step uses the right company's connection in that environment: a location or department company uses its entity company's.

Company pages in a combined chart

While a company is in a combined chart, what the combined chart does is read-only on the company's own page: Summary, Segments, Chart of accounts, the dimension tabs, Full mapping, Opening balance and Records (except fixed assets, which stay each company's own). A banner at the top of each of those tabs names the combined chart and links to the same tab there, and a change sent anyway is refused. Connection stays editable on the company's page. Take the company out of the combined chart (Companies and entities, Remove) to work on it by itself again.

Summary and start dates

Summary has each company's history to convert, and asks its Ledger Doctor for GP's balances on its start date when you save. Ask every company for fresh data asks each company's Ledger Doctor for a new package.

Each Sage Intacct entity can start on its own date, for example one entity on July 1 because its Sage Intacct fiscal year runs July to June, and another on January 1. The companies in one entity start on the same date. Each entity's opening entry is dated the day before its start date, and each company's GL history starts at its own start date.

For each entity you can set the month its Sage Intacct fiscal year starts. entities.csv carries it in FIRST_FISCAL_MONTH. When it differs from GP's fiscal year, Summary says what that means:

  • The opening entry's income statement lines carry GP's fiscal year to date. When Sage Intacct's year starts the day after the opening entry's date, those lines fall in Sage Intacct's prior year and close to retained earnings there.
  • Budgets come by GP's fiscal year, so check each budget year against Sage Intacct's before loading budgets.

Segments

For each company, choose what each GP segment becomes: the GL account, part of the GL account (joined after it), a dimension (by name) or nothing. Give two companies' segments the same dimension name to make them one list. Changing which segment is the GL account changes that company's accounts on Chart of accounts. Each company needs exactly one GL account segment before freezing.

Suggest with AI sends one request for every company, so the AI sees their segments together: the segments' names, value IDs, GP descriptions and how many accounts use each value, never amounts or customer or vendor names. Each request counts against your license's suggestions for the month. Use these suggestions changes only segments nobody has decided, and records each as the AI's suggestion, accepted by you, with the AI's reason.

Chart of accounts and dimensions

  • Chart of accounts: every company's accounts, with filters, search and a company choice. Accept a suggestion, or map an account to another number to merge it, renumber it, or split a company's account off as a new one. Approve the remaining suggestions takes the ones nothing flagged. The chart below shows what maps to each account from each company; Rename changes an account's title.
  • One GP account on its own: under an account's GP accounts on Chart of accounts, Move sends one GP account (1-312-4020-000, say) to another Sage Intacct account: one already in the chart, or a new number with its title. Say why; who did it and when are kept, and the change list shows it. Split gives every GP account of that company's account its own account: the first stays where the account goes, and each of the others is offered the next free number in the chart layout's range for its type, near the account's number and never one already used. Change any number or title before saving. Undo puts a moved GP account back where its account goes (the move stays in the history), and Undo every move does it for all of an account's moved GP accounts. A moved GP account goes to its new account everywhere: The chart (the old account says "1 GP account moved to 4021", the new one shows it "from 4020"), How it will look, Full mapping, the frozen versions and so each company's opening entry, history, open items, budgets, reclass entries, fixed asset account groups and bank accounts. Its dimension values still come from its own segments.
    • A GP account can't go to an account of the other type (balance sheet or income statement) unless you tick Type change on purpose. The account then shows a warning, not a conflict.
    • Bank accounts never merge: nothing moves into an account a GP checkbook's GP account goes to, and a checkbook's GP account doesn't move into an account other GP accounts use.
    • Moving a GP account out of an account that isn't decided yet accepts that account's suggestion for the GP accounts that stay, so the row counts as decided.
  • Each dimension's tab: its values from every company, the leading-zero rule, and a default that every GP account gets when nothing else gives it a value.
  • How it will look and Full mapping show the plan before freezing, with anything undecided at its suggestion. Full mapping downloads as Excel or CSV: every company's GP account with its Sage Intacct account, entity and dimension values.

Records

Each kind of record is one list across the companies, created once at the top level. A record with the same ID in two companies, or otherwise the same name, is matched. Decide each match, with why: One record keeps the record of the company you choose, and the others take its Sage Intacct ID, so their open items point to it; Each its own keeps them apart (two with the same ID then need a new ID for one). Create and the import file wait until every match is decided. Vendors' tax IDs, 1099 setup and payment details still go from each company's Ledger Doctor to Sage Intacct by themselves.

Checklist

The plan's steps are the combined chart's, done once for every company. The opening entries are one per entity. The other steps are each company's, shown together, and each is ticked off for its company. An entity's Sage Intacct fiscal year is listed as a setting to make by hand.

Company order

Under Companies and entities, Move up and Move down change the order later. When two companies' accounts merge, the earlier company's number is the one suggested.

Entities

In each Sage Intacct entity, one GP company is the entity. Each other company becomes a location or a department under a parent entity. In the Entities table under Companies and entities, choose what each company becomes, its ID and name, and its parent entity, then choose Save.

Each entity's Sage Intacct ID can be set by hand: up to 20 letters, digits, dashes or underscores, not starting with 0, and different from every other entity's in the combined chart. A new combined chart takes your entity ID pattern from Settings (for example E100, E200, E300, in company order), or each company's database name when you haven't set one; existing combined charts keep their IDs. The table says who set each ID and when. Once Setup checks finds the entity in Sage Intacct (or creates it) in an environment, its ID can't change here, and the table says why: renaming an entity in Sage Intacct is done there, by hand. Every file and step of the next frozen version uses the ID: entities.csv and Create on Setup checks, the entity on the opening entry, history, open items, reclass and fixed asset files, and Setup checks' Compare.

Problems are listed above the table, such as a location with no entity to go under. A version can't be frozen until the list is empty. entities.csv has one row per entity, the location and department files have a PARENT ENTITY column, and each crosswalk has the entity and the company's location or department.

IDs never start with 0

Excel drops a leading 0 when an import file is opened, so no Sage Intacct ID starts with 0. Number IDs in one list also have the same number of digits.

  • When a GP value starts with 0 (Division 000, Department 05), every number value in that dimension is suggested with a 1 in front, at one length: 000 becomes 1000, 05 becomes 105. You can still map a value to another ID.
  • A value already decided with an ID that starts with 0, or isn't its dimension's length, shows as needing a decision again, with its "renumber to" suggestion. Accept every plain "keep" or "renumber to" takes them. The earlier decision stays in the value's history.
  • A value kept with a leading 0, or number IDs of different lengths in one dimension, are listed under Entities and stop the freeze.

Freeze and files

Freezing needs every account and dimension value decided, one GL account segment for each company, no account with accounts of different types mapped to it, no problems under Entities, the same start date for the companies in each entity, and each company's GP balances on its own start date. If a company's balances haven't arrived yet, the message names it.

Freezing writes a plan version for each company in the combined chart, from the combined chart's accounts, with the entity and the company's location or department on every line. Compare, Create and the other Sage Intacct steps on each company's page load from that version. A company in a combined chart isn't frozen by itself; take it out of the combined chart to do that.

A location or department company uses its entity company's Sage Intacct company, user, entity, retained earnings account and dimension mapping. Copy from on its Connection page brings them over. The files come from a frozen version.

Opening balances

The Opening balances tab makes one draft entry for each Sage Intacct entity, from a frozen version, dated the day before that entity's start date. It opens on the newest frozen version unless you pick another.

  • Each entry has a line for each GP account of every company in the entity, from GP's balances on the start date. A location or department company's lines carry its value.
  • Its reference is GP OB yyyymmdd {entity}, like GP OB 20260701 RSC. Sage Intacct allows 20 characters, so a long one is cut from the date end and the entity ID stays whole.
  • Check checks the entry against the Sage Intacct company, including that each location or department value is there under the entity. Create the draft entry sends it with the entity company's connection, as a draft you review and post in Sage Intacct. Tie out compares it with GP to the penny.

A company in a combined chart doesn't load its opening entry by itself.

Intercompany

The Intercompany tab lists accounts called due to, due from or intercompany, or that you tag, with balances on the start date in two or more companies of one entity. Each shows each company's balance and the net.

  • Decide each one: eliminate, reclass or keep, with a reason, and choose Save.
  • Tag as intercompany adds an account the names didn't catch. Untag takes it off.
  • Nothing changes the opening entries by itself. Until you decide, the entity's Check shows a warning.

Freeze a version

The Freeze a version button is on Plan versions. Add a note if you like (who it was reviewed with), then choose it.

It waits until:

  • every account and dimension value is decided, with nothing in conflict;
  • no account in the chart has accounts of different types mapped to it, and nothing is listed under Entities;
  • each company has exactly one GL account segment;
  • the companies in each entity have the same start date, and each company's GP balances on its own start date have arrived.

If something is still in the way, the button says what. Freezing writes a numbered version that can't be changed: the chart, the change list, each company's crosswalk, the full mapping, the dimension lists and the entities, on Plan versions. It also gives each company a plan version from it, which its Sage Intacct loads, opening balances and history use. To change anything later, decide it and freeze again: the earlier version stays as it was. Moving a GP account, a split and an undo work the same way after a freeze: they're allowed, the page says the frozen version stays as it was, and the next freeze takes them.
