Segments and dimensions

A GP account number is made of segments, such as 100-1220-01. In Sage Intacct, one part becomes the GL account number and the rest become dimensions. On a customer's Segments tab, you decide what each segment becomes:

  • The GL account: the natural account. Exactly one segment.
  • Part of the GL account: a segment that only splits accounts, such as -01 to -04 under one cash or receivable account. It's joined after the account number in segment order, so 1220 and 01 become account 122001, and each becomes an account of its own.
  • A dimension: Entity, Location, Department, Class, Project, or a user-defined dimension.
  • Nothing: not converted.

The application proposes each one. A segment whose GP name says what it is (Department, Location, Class, Project) is proposed as that dimension. A vaguely named one, such as Division, goes by its values' descriptions. Only one segment is proposed for each dimension. You approve each proposal, or change it and give a reason.

Suggest with AI

When GP's names don't make it clear, select Suggest with AI. The application sends the segments' names and values to myledgerdoctor.com: value IDs, GP descriptions, and how many GP accounts use each. It sends no amounts and no customer or vendor names. The AI's suggestion shows beside each segment, with its reason and how sure it is. Nothing changes yet.

  • Use these suggestions applies it only to segments nobody has approved. Each is recorded as the AI's suggestion, accepted by you, with the AI's reason. You can still change any of them.
  • A segment you approved yourself is never changed. A suggestion that would clash with one is left out, and the page says which.
  • The AI can also suggest that a dimension you added should be a standard one, for example that a Fund is usually Class. That row's Proposed column shows it. It changes only when you select it and Save.

Each partner license has 60 suggestions a month.

Dimensions you add

For a requirement GP doesn't have, such as fund or grant reporting, add a dimension under A dimension GP doesn't have. It gets its own row on the Segments tab. If it turns out to be a standard dimension, choose that one in its row and select Save. Its values, default and each GP account's value carry over.

Your name for it stays as a label: a Fund that became Class shows as Class (Fund). In Sage Intacct, rename Class to Fund under Company > Setup > Settings, then Terminology. The import files keep Sage Intacct's own column names.

Financial reports: account groups and the balance sheet tie

The Financial reports tab reads the customer's Management Reporter report definitions (from their Ledger Doctor, or the building blocks export you upload) and compares them with the plan. Below the findings, on a company's own page, each row of each row definition a report uses becomes a proposed Sage Intacct account group:

  • An account row becomes a group of accounts: the Sage Intacct accounts the plan sends the row's GP accounts to. Accounts with none of the plan's other accounts between them share a range; otherwise each gets its own. A row filtered on a segment the plan makes a dimension, such as Fund 200, filters the group on that dimension's value.
  • A total (TOT) becomes a group of its rows' groups, and a calculation (CAL) that adds or takes one row from another becomes a computation group.
  • A row by GP account category needs GP's category names, which the customer's Ledger Doctor sends once it's updated. Until then it says "needs the account categories" and isn't proposed.

The normal balance comes from the row's normal credit balance flag. IDs and titles come from the row descriptions. A row that can't become a group exactly says why. An Approver approves, renames or leaves out each group; who did it and when shows beside it. Compare reads the company's account groups, checks that every account a group names is in Sage Intacct and active and that a filter's dimension value is there, and checks the company's own definition of account groups. Create asks first, then adds only the approved groups that are missing. A group that's already there is never changed; differences are listed. Without web services, the checklist step Account groups from the financial reports lists each group to add by hand.

The balance sheet tie works out each balance sheet row from GP's trial balance on the start date: the row's criteria applied to GP's balances, totals and calculations from their formulas, to the penny. A row that can't be worked out exactly says why; nothing is estimated. After the opening entry, Check against Sage Intacct reads the company's journal entry lines up to the entry's date (read only) and lists any difference by row and account. The checklist step Balance sheet ties to GP after the opening entry ticks itself off when every row ties. On a combined chart, account groups and the tie aren't available yet.
