1099 balances

After go-live, Sage Intacct needs what GP paid each 1099 vendor earlier in the year, so the year's 1099s come out whole. The tab is on a customer's page (under Banks, 1099s and budgets) and on a combined chart, where every company's vendors add up.

About 35 seconds, with captions. Sample company, made-up data.

Choosing what goes

  • Year: the 1099 year. The customer's Ledger Doctor sends this year and last.
  • Sage Intacct start date: only the months before the start month count, as Sage Intacct asks (include only amounts paid before your Intacct start date). GP keeps 1099 amounts by month, so start on the first of a month; the tab warns when you don't.
  • The company files 1099s by entity: adds the ENTITY column. Each company has to be one entity for this.

How the amounts are worked out

  • Per Sage Intacct vendor, form and box. Vendors go through Records: a renamed vendor goes under its new ID, and vendors merged into one add up (in a combined chart too).
  • GP's 1099 type 2 is DIV, 3 INT, 4 MISC and 5 NEC. The box is GP's box text, upper-cased and without leading zeros (01a is 1A, 07 is 7), or else its number.
  • Some GP companies number the forms in their 1099 box setup one lower (1 DIV, 2 INT, 3 MISC, 4 NEC). The customer's Ledger Doctor says which numbering it found; with an older one, Ledger Doctor tells it from the box setup and finds each box's text there. When it can't tell, the file waits: check GP's 1099 box setup.
  • A vendor, form and box that adds to zero is left out.

Amounts converted to NEC

Some amounts go in under a different form and box than GP has, the same way the vendor records do:

  • MISC box 7 in 2020 or later goes in as NEC box 1. Nonemployee compensation moved to NEC box 1 in 2020.
  • An amount with a box but no 1099 type (GP's type 1, or none) goes in as NEC, with the same box.

The tie to GP counts them the same way. Each line with converted amounts is named on the tab and on the file's to-check list, which downloads in a zip with the file. Check that each is what the vendor's 1099 should say.

Refused rows

All or nothing, like open items: while any row is refused there's no file, and every refused row is listed with why (and in a CSV). A row is refused when:

  • GP's type isn't one Sage Intacct takes, or GP says the vendor isn't a 1099 vendor and the amount has no box.
  • The vendor is left out on Records, or isn't among the vendors that convert, so Sage Intacct won't have it.
  • A vendor's box adds up to less than zero.

The tie and the file

The file is read back from its own bytes and summed per form and box, beside GP's total for the year and months, to the penny. If it doesn't tie there's no file. Then download Vendor 1099 opening balances and import it at Company > Setup > Import data > Vendor 1099 opening balances. Its columns are VENDORID, VENDORNAME, ENTITY (only when filing by entity), FORM1099TYPE, FORM1099BOX and AMOUNT.

Sage Intacct has no API for these balances, so they go in with the file, and Ledger Doctor can't read them back. Downloading the tied file ticks the checklist's 1099 step off for that environment; if GP's amounts change afterward, the step says to download it again. Check Sage Intacct's vendor 1099 report after the import.
