Bank accounts
After the history and open items come the bank accounts. Each GP checkbook whose GL account converts becomes a Sage Intacct checking account in Cash Management, or a savings account if you say so. The tab is on a customer's page (under Banks, 1099s and budgets) and on a combined chart, where it lists every company's checkbooks.
The bank numbers
The bank account and routing numbers never come to the partner application. The customer's Ledger Doctor sends only their last 4, and the tab shows those so you can check them. Enter the full numbers in Sage Intacct (the account's bank details in Cash Management) from the bank's own documents, with the customer.
What each checkbook becomes
- ID: the GP checkbook ID, with spaces and the characters Sage Intacct doesn't take in IDs as hyphens (UPTOWN TRUST becomes UPTOWN-TRUST), 20 characters at most. Give it another one if you like. On a combined chart, companies often have the same checkbook IDs (PAYROLL in both). The first company keeps the ID, and each other company's gets its GP company database name after it (PAYROLL-MIG), shortened to fit the 20 characters. The row says so as a warning: change the ID there if you'd rather have another.
- Bank name: GP's bank name, or else the checkbook's description.
- Currency: a checkbook in GP's functional currency (GP usually puts its ID, such as Z-US$, on the checkbook, or leaves it blank) takes the Base currency at the top. Until you set it, that's the ISO code GP's currency setup gives its functional currency, or USD when the customer's Ledger Doctor doesn't send it. A checkbook in another currency takes that currency's ISO code from GP's currency setup (Z-C$ becomes CAD). Only a checkbook in another currency with no ISO code in GP needs its code chosen on the row. From an older customer Ledger Doctor that doesn't say which currency is functional: when every checkbook has the same GP currency, that's taken to be the functional one, and the tab says so.
- GL account and entity: through the frozen version's chart, the way the opening entry maps the checkbook's GL account.
- Checking or savings: checking unless the checkbook's name says savings. Change it on the row.
A checkbook whose GL account is out of scope in the version (outside the history that converts, or left out) doesn't become a bank account, and the row says why. If it's active with a balance, decide its account on Full mapping and freeze a new version. Inactive checkbooks stay out unless you include them. Leave out takes one out.
Reconciliation and balances
- Last reconciled: GP's last reconciled date and balance for each checkbook. Start the account's first reconciliation in Sage Intacct from there.
- GP's balance: the checkbook balance beside its GL account's balance. A difference is something to find in GP (Bank Reconciliation) before go-live; the row and the checklist step say how much. Checkbooks on the same GL account are compared together.
- When GP has a next check number, enter it on the account in Sage Intacct before printing checks. A next check number of 1 (00000000000000000001, GP's starting number) means the checkbook hasn't printed checks in GP: set the first check number in Sage Intacct instead.
Outstanding checks and deposits on the cutover date
Once you've asked for the open items on History and open items, the customer's Ledger Doctor also sends the checks and deposits that hadn't cleared the bank on that cutover date. Each bank account shows them under its row, so the account's first reconciliation in Sage Intacct ties.
- What's outstanding: every checkbook transaction dated on or before the cutover that GP's last reconciliation on or before it hadn't cleared. A check cleared by a later reconciliation was still outstanding on the cutover, so it's there, with when it cleared. A check voided by the cutover isn't; one voided after it is, with a warning to void it in Sage Intacct too.
- The tie: GP's reconciled balance, plus the deposits, less the checks (and every other payment), has to come to GP's checkbook balance on the cutover date, to the penny. Ledger Doctor works it out on the customer's server and again here. The row shows each figure, and GP's GL balance for the account beside them.
- Never reconciled means GP shows no sign of any reconciliation for the checkbook: then everything up to the cutover is outstanding. If GP's only reconciliations on record are after the cutover, an earlier one GP kept no record of may have set the starting balance, so the reconciled balance on the cutover can't be known. That checkbook gets no file and says so: use a cutover on or after GP's earliest reconciliation, or reconcile in GP as of the cutover.
- All or nothing: a checkbook that doesn't tie gets no file, and the row says by how much and why. Where the file would be, it says No file: and the reason. The other bank accounts aren't held up. Ledger Doctor's bank tie-out for the cutover date shows where the difference comes from.
- Warnings don't stop anything: a difference between the checkbook and its GL account (Sage Intacct's reconciliation starts from the GL balance, so find it first), items more than 180 days old, items stored in GP with a negative amount, a reconciliation still in progress in GP, and receipts GP hadn't put in a bank deposit by the cutover.
Initial open items (CSV) is Sage Intacct's import for them, one file per bank account: DATE, DOC_NO, TYPE (checkdebit for checks and payments, depositcredit for deposits), AMOUNT (always positive), PAYEE and DESCRIPTION. In Sage Intacct go to Cash Management, then Reconciliation, then Bank, select the account and choose Initial open items, then Import. The link is there only during the account's first reconciliation. Set the beginning balance cut-off date to the cutover date: Sage Intacct starts from its GL balance on that date, and the open items take it back to GP's reconciled balance. The items don't change the GL. Test the import on a blank company first, including an item dated on the cutover date itself (Sage Intacct's help says the items are dated before the cut-off date).
The checklist's Outstanding checks and deposits on the cutover date step has each account's file, and says why any account has none. Tick it off once they're imported. It can't be ticked off while a bank account's items don't tie.
Into Sage Intacct
- Import file: one row per bank account (kind, ID, bank name, currency, GL account, location), with no bank numbers. Check the columns against the checking and savings account import templates from the customer's own company.
- Compare reads the company's checking and savings accounts: what's there, what isn't, and an ID that's there as the other kind.
- Create the missing ones adds them through Sage's API, each in its entity. It never changes an account that's there. After an import, Create finds them, and the checklist knows.
Create and the file wait while anything chosen needs a fix: an ID Sage Intacct doesn't take, two checkbooks you gave the same ID, a currency in another currency with no code. The checklist's bank step ticks itself off once every bank account is in Sage Intacct in that environment.
