Budgets

Budgets come last. The tab is on a customer's page (under Banks, 1099s and budgets) and on a combined chart, where every company's budgets come together.

About 35 seconds, with captions. Sample company, made-up data.

Asking for them

Leave the year empty and choose Ask for them. The customer's Ledger Doctor sends every budget GP has, with its lines, in its next package (usually within minutes), so you see them all and pick. Give a first year only when every budget is too much for one package: budgets before that year don't come, and the tab says so. Stop asking stops them coming.

Picking budgets and years

Nothing comes over until you pick it. Customers often want only some budgets, and only some of their years, and leave the rest behind.

  • Tick each GP budget to bring across. Its years are shown, all ticked. A GP budget can have lines for more than one year.
  • Untick any year the customer leaves behind. Only the years ticked go into the ties, the import file, Create and Tie out. At least one year stays ticked; to leave the whole budget behind, untick the budget.
  • A budget's years don't depend on how much GL history converts. The history can start in 2021 and only the 2026 budget come over, or the other way round.
  • A budget picked before years could be picked comes over with all its years, as before. Untick some if the customer wants fewer.

Each budget picked becomes one Sage Intacct budget, with the GP budget ID as its ID (spaces as hyphens, 20 characters at most), or one you give. In a combined chart, the companies' budgets with the same Sage Intacct ID become one budget. Two budgets of the same company never do: if both would get the same ID, the tab says so until you give one another ID.

Accounts only the budgets use

A picked budget can use GP accounts that have no balance at the start and no activity since, so they aren't on the mapping pages yet. Every account a picked budget's picked years use comes into the mapping pages at the next freeze, the same way the accounts open documents use do. Accounts only budgets or years you didn't pick use stay out.

Until a frozen version has them, the tab says how many accounts used only by the picked budgets come into the plan at the next freeze, and lists them (with the company, in a combined chart). Their budget lines stay refused, by name. Decide them on the mapping pages and freeze a new version.

How the lines are worked out

  • Each line goes to the account, entity and dimension values the frozen version gives the opening entry; in a combined chart, a company's own location or department too.
  • Sage Intacct takes one amount per account and dimensions per period, so lines that land on the same ones add up.
  • The period is the Sage Intacct reporting period for the GP period's month: the company's own, once Compare has read them, or else the standard name (Month Ended January 2026). A GP period that starts on the first of a month and ends in that month is that month, even if GP ends it a day early (February 28 in a leap year). A GP period that starts mid-month or runs into the next month has no standard name, so its lines are refused until Compare reads the company's own periods.
  • Amounts are in the account's normal balance, so revenue is positive: GP's amount for a debit account, the opposite for a credit account.
  • Lines on GP unit accounts (quantities, not money) are left out, and the tab says so.

Refused lines and the tie

A budget with a line on an account that doesn't convert in the version, a period that can't be matched, or an account with no normal balance has no file and isn't created. Its refused lines are listed, and every one is in a CSV. Map the account on Full mapping and freeze a new version, or leave the budget out.

Each budget ties to GP to the penny, before the sign change: all its lines to GP's total for the budget, then for the years picked, the mapped lines to GP's for each year, and the file read back from its own bytes. The years left behind are named, with their amount.

Into Sage Intacct

  • Import file: one per budget, for General Ledger > Budgets > Import: BUDGET_ID, ACCT_NO, the dimension columns, and one column per period. Check the columns against the budget import template from the customer's own company.
  • Compare reads the company's reporting periods (the files and Create then use its names), its budgets and its accounts.
  • Create the budgets that are ready sends each one that's ready in a single request with its lines. One that isn't ready waits and doesn't stop the others. A budget ID that's already in Sage Intacct is refused, never changed.
  • Tie out reads each budget back, after Create or an import, and ties it per account and period to the penny.

The checklist's budgets step ticks itself off once every budget picked is in Sage Intacct and tied in that environment.
