Read the health dashboard
The health dashboard shows the results of the latest scan for one GP company, plus the checks on the GP system database and the SQL Server.
Pick a company
The list at the top right switches between the GP companies you can see: every company Ledger Doctor monitors, or, once Security is on, the companies your role covers. Every page keeps the company you picked.
Next to each company's name, the list says what needs you there, like "Fabrikam (MIG) — 4 tasks, 2 findings" or "Test company (TWO) — all clear". It counts your open close tasks, fixes waiting for your approval, the company's findings, and a close that hasn't been started for last month in a company that uses the close checklist. The counts are the same as that company's My work. Findings on the GP system database, which every company shares, aren't counted against each company; they're on the Health page and in My work for all companies. Where a page counts both, it says how many are whose, like "11 in this company and 2 in the GP system".
When the list is closed and a company's name is long, the box shortens it by whole words with "…", or to the company's code alone, so its counts still show; on a narrow window it leaves out "close not started" rather than cut it. Open the list to see every company in full. The list says "close not started"; the strip under the menu and My work say which month.
All companies is in the list on My work, the Health dashboard, Needs approval and the Close page. Other pages are about one company, so if you open one with All companies picked, it shows the last company you picked.
Other companies need attention
When another company you can see has something for you, a yellow strip under the menu says so on every page, like "Other companies need attention: MIG (4 tasks, 2 findings), FAB2 (October close not started)." Each company's name opens its My work. The strip goes away only when every other company is all clear, so a clean company is never mistaken for everything being done.
If a yellow message says Ledger Doctor can't read a company yet, it was added to GP after setup ran. See Add companies or change approvers.
All companies
With All companies picked, the dashboard shows each company's area tiles under its name, the companies that need attention first, and the GP system database's areas on their own at the end. The headline says how many companies need attention. Choose a company's name to see its issues in order.
The headline
The headline counts the areas with problems, like "1 area with errors, 2 with warnings", or says All clear. Under it: when the last scan ran, which version of Ledger Doctor you have, and which check library.
Area tiles
Each tile is one area of GP, such as Payables, Receivables or Server and backups, with its status and how many of its checks are clear. The worst result in the area sets the tile's status. "Not installed" means the company doesn't use that GP module, so its checks don't apply. "Couldn't run" counts checks that didn't finish; see A check says it couldn't run.
Tile style, next to Scan now, changes how the tiles look, just for you: Tinted tiles (the whole tile takes the status color, so problem areas stand out; where everyone starts), Solid badges (a solid status badge on each tile), or Icon and check meter (a status icon and a bar with one segment per check, red or amber for open checks and green for clear ones). Your choice follows you to any computer.
Choose a tile to see every check in that area, clear or not, with what each one looks for. Choose Open, Review or Preview fix on a check for its details.
Light or dark
Light or dark, in My preferences (choose your name at the top right), picks light, dark, or the same as Windows, which is where everyone starts. It's just for you, and follows you to any computer.
Issues to resolve
Every check that found something, or couldn't run, worst first. Each line shows the status, the check's title, the area, how many it found and, where it applies, the financial impact. Choose Review to see the records, or Preview fix when the check has a one-click fix.
Records an approver marked as expected don't count here. See Mark a finding as expected.
My work
My work is where Ledger Doctor opens, unless you choose otherwise. For one company, it shows, top to bottom:
- Waiting on you: the open close's tasks assigned to you, with when each is due, and, for approvers, fixes waiting for their approval. If nothing is, it's one line saying how many tasks nobody has taken.
- Do the subledgers match the GL? Receivables and payables, and by how much they're off if they don't; inventory, per inventory account; fixed assets for the book that posts to the GL; and, for the bank, any checkbook with recent activity that hasn't been reconciled in 45 days. Inventory, fixed assets and the bank show only when the company has them.
- Ledger health: what the last scan found, worst first, in plain words, with what to do about each: an approver's one-click fix, a guide that walks you through GP, or something for your GP admin or partner. The first six are shown; the Health page has them all.
Under the findings, and on the Health page, Ledger Doctor names any GP module the company uses that it doesn't check yet (Payroll, say), so a clean result isn't read as covering it.
My work for all your companies
If you can see more than one company, My work opens on All companies. At the top, each company's close for last month: complete and reviewed, complete but waiting for review, how many tasks are left, or not started, with a link to each checklist. Pick another month in the list beside it. Then each company under its own heading, the ones that need you first: your tasks, fixes waiting for your approval, what the last scan found, and any subledger that doesn't match the GL. A company with nothing for you says All clear. The GP system database's findings, which every company shares, are listed once at the end.
Choose a company's name to see its full My work. To go back, pick All companies in the list at the top right.
Plain words or everything
Choose your name at the top right of any page to open My preferences. They're yours alone and follow you to any computer.
- Plain words (the default): each issue starts with what's wrong and what to do. GP's table and field names, check and fix numbers are under Details for your GP admin at the bottom of the issue.
- Everything: issue pages open with those details expanded and GP's field name under each column, and this dashboard shows each check's number.
You also choose the page Ledger Doctor opens on: My work, Health, Close, or, for approvers, Needs approval.
Your GP user ID is the user ID you sign in to GP with. When you post a batch a close check lists, Before you start uses it to tell a batch open in your own GP (close that batch entry window, then post) from one someone else has open.
Close task emails are there too: the address they go to (empty uses your address in Active Directory) and which ones you get. See who can be assigned, and the emails they get.
